Refund Policy

Replymerce subscription refunds for customers in the EU, United States, and Armenia.

This Refund Policy explains how Replymerce handles refunds of Replymerce subscription fees for customers in the European Union (including the EEA and, where applicable, the United Kingdom), the United States, and the Republic of Armenia. It forms part of our Terms of Service.

This policy covers Replymerce’s own software-as-a-service (inbox, AI replies, voice, integrations, and related workspace features). It does not govern returns of products sold in your store to your shoppers.

1. Who this applies to

Most Replymerce customers subscribe as a business (B2B). Statutory consumer cooling-off rights generally apply only if you are a consumer (you subscribed as an individual for purposes outside your trade, business, craft, or profession).

If you subscribe on behalf of a company, you are a business customer. Business customers do not have a statutory “change of mind” right, but may still request a refund as described below.

2. How we bill

  • USD / international cards: checkout is processed by Paddle, which may act as merchant of record. Paddle’s checkout terms, taxes, and refund mechanics also apply.
  • AMD (Armenia): checkout is processed through AmeriaBank vPOS. Refunds of AMD charges, if approved, are returned via that payment channel where the bank and card scheme allow.

Fees charged directly by third parties you connect (OpenAI, Meta, telephony providers, and similar) are not Replymerce fees and are not refundable through Replymerce.

3. European Union, EEA, and United Kingdom

If you are a consumer resident in the EU/EEA (or the UK, where equivalent distance-contract rules apply), you generally have a 14-day right of withdrawal from the day the paid subscription contract is concluded (Directive 2011/83/EU, as amended, and implementing national law).

Replymerce is a digital service that starts as soon as your workspace is available. If you ask us to start the service during the 14-day period (including by logging in, connecting a channel, sending or receiving messages, using AI replies, or otherwise using the paid features), and you acknowledge that you lose the withdrawal right once performance has begun, the statutory cooling-off right ends when performance begins, as allowed for digital services.

If you are an EU/EEA/UK consumer and you have not started using the paid service, you may withdraw within 14 days and receive a full refund of the Replymerce subscription fee paid for that first period.

After the 14-day period, or after you have started using the paid service, refunds are not required by EU consumer law for unused time, except where the service was not provided as agreed, was defective, or another mandatory consumer remedy applies. We will still review goodwill requests (see section 7).

VAT invoices for Paddle checkouts are issued according to Paddle’s tax handling. Nothing in this policy limits mandatory consumer rights that cannot be waived.

4. United States

U.S. federal law does not provide a general cooling-off period for online software subscriptions. State consumer-protection laws (including rules against unfair or deceptive practices) still apply.

Unless a U.S. state law gives you a greater right, Replymerce subscription fees are non-refundable once the paid period has started, except:

  • duplicate or erroneous charges;
  • we fail to provide the paid service in a material way and do not cure it in a reasonable time after you notify us;
  • a goodwill or pro-rata refund we approve under section 7.

Canceling auto-renew stops future charges; you keep access until the end of the period already paid.

5. Republic of Armenia

If you are a consumer in Armenia, the Law of the Republic of Armenia “On Protection of Consumer Rights”, the Civil Code of the Republic of Armenia, and other mandatory rules may give you remedies for defective or non-conforming services, and (where they apply) rights for distance contracts. Those mandatory rights are not limited by this policy.

Armenia does not copy the EU 14-day digital-service withdrawal model in full. For a consumer distance contract for a digital service that starts immediately with your informed request, a “change of mind” refund may be limited once the service has been performed.

If you subscribe as a business in Armenia, this policy and the Terms of Service govern. There is no statutory cooling-off for B2B SaaS; refunds are as set out in sections 6–8.

AMD payments are refunded, if approved, to the original card or account through AmeriaBank where technically possible. Processing time depends on the bank and card scheme (often several business days after we submit the refund).

6. What we refund

When a refund is approved, it covers the Replymerce plan fee for the relevant invoice (or a pro-rata unused portion, if we grant a partial refund). We do not refund:

  • third-party API, messaging, or telephony usage you incurred;
  • periods you already used (except where mandatory law requires otherwise, or we agree a goodwill amount);
  • add-ons or overages that are not part of the listed subscription price;
  • chargeback or payment-processing fees already paid to a bank or Paddle, unless we caused an erroneous charge.

Free plans and unused trial access have no fee to refund.

7. How to request a refund

  1. Open Account → Billing and submit a refund request (workspace owner or admin), or email [email protected] with your account email, organization name, invoice or payment date, amount, currency, and reason.
  2. We typically respond within 5 business days (Monday–Friday, Armenia time, excluding Armenian public holidays).
  3. If approved, we instruct Paddle (USD) or AmeriaBank (AMD) to return the funds to the original payment method. Card issuers often take 5–15 business days to show the credit.

Please contact us before opening a chargeback. Unjustified chargebacks may lead to account suspension while we investigate.

8. Cancellation vs refund

You may turn off auto-renew at any time in Account → Billing. That is not automatically a refund. Access continues until the current paid period ends. A refund, if granted, is a separate decision under this policy and applicable law.

9. Changes

We may update this policy. The “Last updated” date will change. The version in force when you paid applies to that payment, except where a newer version is more favorable to you or the law requires otherwise.
